Service terms
Effective 8 September 2026. HoldFee, Melbourne, Australia. Questions: team@holdfee.app.
1. What HoldFee is
HoldFee is a WordPress plugin and a hosted service for businesses that take bookings. The service, once you switch it on, asks each new client to accept your cancellation policy and save a card, and charges the fee you set when a booking is missed or cancelled late. The plugin reads the bookings already on your site to do that, and its no-show calculator shows you what no-shows and late cancellations have cost. Payments run on Stripe, and HoldFee never sees or stores card numbers.
2. Who these terms are between
These terms are between HoldFee and the business that installs the plugin and registers with the service ("you"). Your clients are not party to these terms. What they accept is your cancellation policy, shown to them on the card page, and Stripe's terms for the card form.
3. Your account and your Stripe account
To charge fees you connect a Stripe account: one Stripe opens for you through its onboarding, or your existing Stripe account through "Connect with Stripe". You are the merchant: fees are charged by your Stripe account, paid out to you by Stripe, and appear on your client's statement with your business name and the words NOSHOW FEE, or CANCEL FEE for a late cancellation. Stripe's Connected Account Agreement applies to that account. You must keep your account details accurate and your login secure.
4. The subscription
The plugin and its no-show calculator are free. Protection (secure links, cards on file, fees) is a paid subscription at the price shown at checkout, billed monthly or yearly through Stripe, cancellable at any time from your dashboard. Cancelling stops the next charge to you and, at the end of the period you have paid for, stops new bookings from being protected. It does not refund the current month or the remainder of a paid year, except where the law requires it. We may change the price with at least 30 days' notice by email, and a change never applies to a period you have already paid for.
5. Fees you charge your clients
- You decide the amounts, the late-cancellation window and the wording of your policy. HoldFee provides defaults, and they are yours to change and yours to stand behind. HoldFee is not a law firm and gives no legal advice: check your policy against the consumer law that applies to you.
- A fee is charged only when a client accepted your policy and saved a card for that booking, and only after a notice was sent to them with a window in which you can waive or reduce it. One fee per booking, never more.
- You are responsible for making sure that charging such fees is lawful where you operate and that your policy is fair and clearly presented. HoldFee shows the client the exact policy text you set and keeps a record of what they accepted.
- Disputes and chargebacks are between you, your client and Stripe. HoldFee assembles the evidence (policy text, consent record, notices, booking details) and submits it on your behalf when you ask, but does not decide outcomes and does not guarantee them.
6. What you must not do
Do not use HoldFee to charge for anything other than a missed or late-cancelled booking that the client agreed to. Do not enter cards on a client's behalf. Do not send the secure link to people who have not booked with you. Do not interfere with the service, other users' data or Stripe's systems.
7. What we do and do not promise
We run the service with care, monitor it, keep it backed up, and record every step that moves money. We do not promise it will never be unavailable, that every booking system will be read perfectly, or that any particular fee will be collected. The no-show calculator is an estimate built from your own data. Where your booking system does not record no-shows, the report says so and uses typical rates.
8. Liability
Nothing in these terms excludes rights you have under the Australian Consumer Law or other law that cannot be excluded. Otherwise, to the extent the law allows, HoldFee's liability to you for anything arising from the service is limited to the subscription fees you paid in the three months before the claim, and HoldFee is not liable for indirect loss, lost revenue or chargeback outcomes.
9. Ending the relationship
You can uninstall the plugin and cancel at any time. Uninstalling tells the service to stop, and cancelling ends the subscription. We can suspend or end your access if you breach these terms, if Stripe closes or restricts your account, or with 30 days' notice for any reason. After it ends, cards on file are no longer charged, and data is kept or deleted as the privacy policy says.
10. Changes and law
We may update these terms. Material changes are emailed to the address on your account at least 14 days before they apply. These terms are governed by the law of Victoria, Australia, and its courts.
